DOCMAN — Enterprise Document Management System

Document management the way an enterprise actually uses it

AI-supported document classification, approval workflows, case-level management, version control, Qualified Electronic Signatures (QES), and Company Gateway integration — all within a single ISO-compliant system. Built for the Hungarian upper mid-market enterprise segment (200–2,000 employees).

15+ years · ISO 27001 + 9001 · QES + Company Gateway · Hungarian development

Built for the Hungarian upper mid-market enterprise segment — with references in public administration, financial services, energy, and transportation. 15+ years of enterprise IT experience, 20+ references.

The Problem It Solves

The question is not whether documents are being managed

It is how systematically they are managed — and whether the process can withstand an audit. The most common situations:

the document repository is fragmented (SharePoint, Drive, Outlook, file servers) — what HR can find, Finance cannot

approvals happen through email: three weeks may pass between two signatures — and in the end it still comes down to printing, signing by hand, and scanning

before an audit, people spend two weeks searching — for evidence required during ISO reviews and regulatory inspections

Company Gateway access is required, but your systems do not support it — integration of NAV and legal document management is missing

Does this sound familiar?

If you recognize any of these situations, it is worth spending 30 minutes reviewing whether DOCMAN fits your environment. If it does not, we will tell you that as well.

Who It Is For

Built for a specific management scenario

DOCMAN was built for a specific management challenge: the Hungarian upper mid-market enterprise segment (200–2,000 employees), where document management is strategically important, but existing systems are either incomplete or unsustainable in the long term.

You should request a product demo if...

  • You are preparing for ISO 27001 or ISO 9001 certification, and document control is the weakest point.
  • Managing NAV or Company Gateway communication is difficult within your current systems or requires custom development.
  • Approval processes run through email, and turnaround times do not scale.
  • Digital signatures still happen at the end of the process — printing, signing by hand, scanning — and you would like to replace this with Qualified Electronic Signatures (QES).

When should you not call us?

  • A company with fewer than 50 employees — Google Drive or Microsoft 365 will likely be a better and more cost-effective fit at your scale.

  • You are looking to fine-tune an existing SharePoint-focused solution — we do not provide SharePoint consulting.

  • You have highly specialized requirements (medical imaging, legal e-discovery) — DOCMAN is designed as a general enterprise document management system.

You know your current document management is no longer enough — you just do not know what the right next step is.

This is the most common situation. In a 30-minute product demo, we review your current document management processes and show whether DOCMAN is the right solution for your organization. If it is not, we will tell you that as well.

What Makes It Different

Three things that set it apart

Case-Level Management

Most document management systems think in terms of documents and workflows. DOCMAN’s Case container brings together multiple documents and parallel workflows — it can remain open for months while management maintains visibility into its status.

Native Company Gateway and QES

Incoming regulatory correspondence is classified automatically, and Qualified Electronic Signatures operate within a closed process — not as an add-on, but as a built-in capability designed for the Hungarian environment.

AI Classification and Natural Language Search

The system extracts structured data and suggests classifications; the search engine can be queried in natural language — users do not need to know the exact keyword.

Market Position

Why DOCMAN instead of an international or general-purpose platform?

International enterprise tools are expensive and oversized, while SME tools do not scale. The 200–2,000 employee segment sits exactly in this difficult middle ground — and that is what DOCMAN was built for.

Native Company Gateway / NAV integration

Qualified Electronic Signature (QES) integration within a closed process

Outlook-integrated email classification

AI classification & natural language search

Automatic workflow and Case creation based on rules

Developed and deployed in ISO 27001 + 9001 certified environments

Frequently Asked Questions

Common questions about DOCMAN

For a mid-sized company (200–500 employees), implementation typically takes 4–8 weeks. The timeline depends on integration requirements (Company Gateway, ERP, email systems, access management), the number of document types, and the complexity of approval workflows. During the product demo, we provide a specific estimate for your environment.

DOCMAN pricing consists of implementation services, an annual license, and an optional maintenance package. Pricing depends on company size and the required functionality. During the product demo, we provide a tailored proposal.

A Case is a third structural layer above documents and workflows. A Case brings together multiple documents and multiple workflows — for example, all documents and approval processes related to a customer contract. Workflows are time-bound (typically 2–4 weeks); a Case is not. A Case may remain open for months or even years while the workflows within it are completed over time. This helps eliminate the problem of “abandoned workflows” and provides management with a clear overview of what is still open and why.

DOCMAN’s native Company Gateway integration automatically classifies incoming regulatory correspondence and processes outgoing official documents. Notifications received from NAV, the Company Court, or government authorities are automatically stored in the correct document repository with the appropriate access permissions. Incoming Company Gateway messages can also automatically trigger Cases and workflows (see Question 6).

DOCMAN supports the document-control requirements typically audited under ISO 27001 (Information Security Management) and ISO 9001 (Quality Management). These requirements are addressed through access control, audit logs, version management, approval trails, and document retention policies. Detailed compliance documentation is available during the product demo.

SharePoint and M-Files are general-purpose document platforms that are widely used, but they are often oversized or do not natively support Hungarian-specific requirements such as Company Gateway integration, NAV-related processes, Hungarian-language classification, Qualified Electronic Signatures, or Case-based management. DOCMAN was built specifically for the Hungarian enterprise environment. ISO compliance, Company Gateway integration, Qualified Electronic Signatures, AI classification, and Case-level management are built in natively. During the product demo, we provide a detailed comparison with relevant market alternatives.

Yes. DOCMAN is built on a modern API-based architecture and can be integrated with virtually any enterprise system, including ERP, CRM, HR, and business management platforms. The integration scope is defined and implemented as part of the project.
